In Singapore, most event management companies charge either a percentage of the total event budget or a fixed project fee, depending on the scope and complexity of the event.
For full-service event management, fees typically range from 10% to 20% of the total event budget, covering end-to-end planning, vendor coordination, creative direction, and on-site execution.
Other common pricing models include:
- Fixed project fee: Usually for smaller or well-defined events, ranging from SGD 2,000 to SGD 10,000+
- Hourly or daily rates: For consulting or partial support, around SGD 100–400/hour or SGD 800–3,000/day
- Day-of coordination: For execution-only support, typically SGD 500–3,000
As a general guide, percentage-based pricing is more common for mid to large-scale events like conferences or gala dinners, while fixed fees are often used for smaller, more straightforward projects.
2. How much lead time is needed to plan an event in Singapore?
Lead time directly determines what’s possible creatively, logistically, and commercially. Here’s our honest guide:
- Small event (under 100 pax): minimum 4–6 weeks
- Mid-size corporate event (100–500 pax): 2–4 months
- Large conference or gala (500+ pax): 4–6 months
Compressing timelines limits your venue options, reduces the quality of creative development, and puts pressure on vendor pricing — they charge a premium for urgency. Singapore’s event calendar also has crunch periods: Q4, National Day season, and Formula 1 week fill up fast. If your event falls near any of these, add at least a month to the above timelines. We’ve done tight turnarounds before, but we’ll always tell you upfront what trade-offs you’re making.
3. Are quotes typically inclusive of GST?
Twist Media Pte Ltd is a GST-registered organisation. All quotations are subject to the prevailing GST charge.
4. Can you handle venue sourcing and negotiation?
Yes! Venue sourcing and negotiation is a core part of what a full-service event company offers.
Twist Media draws on industry relationships to find venues that fit your event’s scale, format, and feel, including spaces that rarely make the standard shortlists. From there, we negotiate on your behalf, where our agency relationships often unlock better rates, waived fees, or added inclusions that most clients wouldn’t secure booking directly.
We also review contracts carefully, particularly attrition and cancellation clauses, and make sure any AV or staging requirements are factored in before anything is signed.
5. What is the difference between “Event Planning” and “Event Management”?
These terms get used interchangeably, but they’re not the same thing.
Event Planning covers the pre-event work: conceptualisation, budgeting, vendor selection, logistics coordination, and runsheet development. Some companies only do this and hand over to you (or a separate team) on the day itself.
Event Management is the full lifecycle: planning plus live execution and post-event wrap-up. A true event management company is accountable for what happens on the day.
At Twist Media, we do both as one integrated service. We find that separating planning from execution creates accountability gaps that always surface at the worst possible moment — on the day itself.
6. Do you own your own AV (Audiovisual) equipment?
We work closely with a network of trusted AV partners, giving us access to a wider range of equipment and capabilities tailored to each event’s requirements.
AV technology evolves quickly, and different events call for different technical setups. Specialist AV vendors typically carry a wider range of up-to-date equipment and have dedicated crews who are trained to handle specific systems. This also allows for greater flexibility, especially when scaling up or building in contingencies for larger or more complex events.
Ultimately, what matters most is not who owns the equipment, but whether your event partner can recommend the right setup and coordinate it effectively. Having strong working relationships with reliable AV vendors helps ensure smoother execution, clearer communication, and a setup that is tailored to your event’s needs.
7. What permits are required for public events?
Permit requirements depend heavily on the nature, scale, and location of your event. Here’s a practical breakdown:
- Events in public spaces (parks, roads, public areas): Police permit from the Singapore Police Force (SPF)
- Events with live entertainment or performances: Public Entertainment Licence (SPF)
- Food and beverage served at events: SFA approval or caterer licence verification
- Events at government premises: Relevant agency clearance (varies by ministry or statutory board)
- Road closures or traffic management: LTA permits
For private venue events, such as hotel ballrooms, convention centres, and corporate premises, the permit burden is generally lighter, but the venue’s own rules and insurance requirements apply.
8. How do you handle wet weather contingencies?
For any outdoor event in Singapore, wet weather planning isn’t optional; it’s a baseline requirement.
A proper wet weather plan includes:
- A clear decision timeline: For example, a go/no-go call made at T-minus 2 hours, with defined authority — who makes the call and what triggers it
- Pre-scoped backup options: A designated indoor shelter, an adjacent tentage area, or a fully alternative indoor venue already on standby
- Crew briefing on the wet weather runsheet: Every team member knows their exact role if conditions change
- Attendee communication protocol: Pre-drafted messages ready to send via email and WhatsApp the moment a decision is made
For events where outdoor exposure is significant, we typically recommend premium tentage as the primary setup, as it removes the weather variable entirely and is worth the additional cost versus the risk.
9. Will there be a dedicated "show caller" or event manager on-site?
Yes. For our events, we typically assign a dedicated Show Caller. This role focuses on managing the live run sheet, cueing technical elements such as AV, lighting, and presentations, and helping things stay on track throughout the programme. Having someone in this role can make a noticeable difference in how smoothly an event runs, especially when timing and coordination are critical.
For larger-scale events, we also structure the team with clearly defined roles — such as registration, floor management, backstage, and technical coordination. This helps ensure responsibilities are clear and that the team can respond quickly if anything unexpected comes up.
